Blackfriars Hall > Intercom Entry System Guide for Students (33 St Giles)

Intercom Entry System Guide for Students (33 St Giles)

  1. Purpose of the Intercom System

The intercom telephone in the flat at 33 St Giles is part of the building’s security framework. It enables:

  • Controlled access for students and authorised visitors
  • A secure method to prevent unauthorised entry

Please treat the intercom as a safety tool, not a convenience shortcut.

  1. When Students Should Use the Intercom

Use the intercom only when necessary, such as:

  • Your access fob is forgotten, damaged, or not functioning
  • You are returning normal access hours and need assistance from your flatmates
  • You are expecting a visitor and need to confirm their arrival
  • You need to vet someone who is requesting entry

Avoid using the intercom for non?urgent requests.

  1. How to Use the Intercom Safely

Step 1 — Initiate the Call

  • On the intercom, find the entry for the student accommodation and press this once.
  • Wait patiently for a response; repeated pressing is unnecessary.

Step 2 — Identify Yourself Clearly

State:

  • Your full name
  • Your role (e.g., student resident)
  • The reason you need assistance

Example:
“Hello, this is [Name], a student resident. My card isn’t working and I need to enter.”

Step 3 — Follow Instructions

  • Answer any verification questions.
  • Wait for another student to come and open the 33 St Giles’ front door.

  1. Visitor Access Protocol

To maintain building security:

  • Only allow entry for visitors you are expecting.
  • Confirm their identity through the intercom before admitting them.
  • If someone arrives unexpectedly, direct them to contact the person they are visiting – don’t just let them in.
  • Never grant access on behalf of someone you do not know.
  1. Preventing Tailgating

Tailgating occurs when someone follows you into the building without authorisation.

To prevent it:

  • Enter alone and allow the door to close behind you.
  • If someone attempts to follow you in, politely say:
“Please use the intercom to check in with the Lodge.”
  • Report repeated or suspicious attempts to staff.

  1. In Emergencies

If you feel unsafe or observe concerning behaviour:

  • You can use the intercom telephone to phone University Security Services or 999.
  • Provide clear, concise information about the situation.
  • If the situation is urgent or life?threatening, contact emergency services first.

  1. Privacy and Security Best Practices
  • Keep intercom conversations brief.
  • Never share access codes or internal security details.
  • Do not discuss other students or sensitive matters at the entrance.
  • Report any malfunctioning equipment promptly.

  1. If the Intercom Appears Unresponsive
  • Press the button again after a short pause.
  • Report the issue so it can be addressed quickly.

  1. Quick Safety Summary
  • Identify yourself clearly
  • Never admit unknown individuals
  • Follow staff instructions
  • Prevent tailgating
  • Use the intercom responsibly
  • Report suspicious behaviour
